Typing, Editing, Proofreading & Formatting are one of the most commonly outsourced jobs. Some find repetitive data entry a boring task and avoid it until its too late.
Whilst Data Entry is not specific to programs such as Microsoft Word, it does involve updating business related database files, intranet, spreadsheets & accounts based documents.
Your Virtual Administrator can assist with the processing of these functions offsite…
Typing from Copy
Straight typing involves copying text from an original document, word for word. The original could be in a hand written format or a PDF file or other such works. Obvious spelling or grammatical errors are corrected during typing. Each page is quickly proofread for accuracy, saved to file and then returned to the owner.
You may require further attention for this job such as editing, formatting for best presentation of the subject matter and finally produce a colour printed hard copy.
Proofreading
While different from editing, Proofreading involves a thorough examination of the text content, find and correct typographical errors and mistakes in grammar, spelling, punctuation, and appearance (general formatting/layout) such as headings, subheadings, footers, page numbering etc..
Proofreading does not change or alter correct the flow of information but makes the document easier and more pleasant to read.
Editing
Restructuring sentences, re-ordering paragraphs and replacing words which are more appropriate as descriptors are some of the major changes which can be made to the content of the document, book or thesis. It can mean the difference between an 'okay’ Uni assignment or a great read!
A well written, worded, structured, and formatted document will ensure legitimacy in any institution/school, workplace or business environment.
Editing usually occurs in stages often producing more than one draft. When both author and editor agree on all changes, the final draft is produced as a new document.
Revise & Update Information
Revision is the process of making changes to an article or document in order to apply the most recent and relevent information available to the subject matter. Looking at something from a fresh and critical perspective can be an ongoing process.
Therfore in updating relevant data and including additional information, you create a new version. The newer version is made distinguishable by giving it a consecutively numbered file name, such as: MyDataFile_Ver2_01-2015.
Formatting or Document Layout
Any type of Word document or article which has been created needs to be arranged or 'layed Out' in a formal and readable style & orientation.
This includes using a specific font & text size for different headings & body of document, column and chapter formats. Background headers & footers & page numbers keep track of the article, company or personal logos/images show ownership, paragraphs, tables, bullet points, borders and such.. displays the visual content.
Booklets, Manuals, informational brochures & flyers etc, ... need to follow a consistant and uncluttered look for comfortable and pleasant reading.
Excel Workbooks | Spreadsheets
Excel is designed to work with numbers and perform calculations. Spreadsheets are like electronic sheets of paper that have been ruled up into tables comprising of columns and rows which can be used for recording historical data, sales reports, expenditures and costs, financial planning, budgeting, record keeping and the like.
Excel is extremely versatile, enabling the management of all types of data whether it be numeric, text or otherwise, and also suitable for modelling purposes such as organisation charts, flyers, and posters!
All worksheets within a Workbook can contain different or linked sets of data. Each can be individually formatted with headers/footers, logos and images, column & row colours, cell sizes & font styles.
Excel spreadsheets work well as templates, can be shared across a network & cells protected from unauthorised editing.
Transcribing Information
This is the process of listening to an pre-recorded audio tape and typing the content, word for word into a digital/computer file.
Transcribing the spoken word can be a time-consuming and slow task because there will be many stops & starts between the audio tape and typing the text. The speaker may be a fast talker or the accent may somtimes be a little difficult to decipher.
Ten minutes of spoken word could easily produce twenty (20) pages or more.
Any editing or formatting required after transcription is an additional option.

Templates
Templates are master documents which are used by a business or individual and are easily identifiable as belonging to that person or company.
Templates follow a specific style and layout throughout all working articles. They contain formats such as a business logo and/or tagline, contact information; headers & footers; page numbering style; type & size of text & bullet points; column layouts etc..
Template documents or forms can be used over and over again without interfering with the base layout. Master documents can be built from Word, Excel, PowerPoint and other applications commonly used.
Master Templates can be developed for such documents as: letterheads, facsimilie cover sheet; compliments slips; portfolio cover pages; invoices; statements; Excel forms; newsletters; lists; place cards; memos and much more..
File Conversions | Scanning
Documents or articles in any type of 'working editable' format can be scanned to a Portable Document Format - PDF.
After your projects, assignments or 'Job of work' has been completed, you may wish to have one complete PDF - digital or hard copy - to store for a permanent record. PDF articles are generally accepted in place of orginals for legal purposes.
File Conversions | Editable Text
Articles currently in Portable Document Format - PDF can be converted to an editable text format 'OCR' for revision and updating through a text editor such as Word.
Files converted to OCR will usually lose the current formattng and sometimes characters become unrecognisable. Working on a conversion of this type is almost like starting a new document. The style and layout has to be recreated and any current images, if available, will need to be freshly replaced.
The advantage however, is that large chunks of text don't need to be retyped all over again.
